Church Office Coordinator Job Description
The Church Office Coordinator serves as a primary front office staff member coordinating day to day operations of the church office and supporting church leadership and rostered staff. The Church Office Coordinator reports to the Pastor or in case of Pastoral absence, to the Church Council President.
Responsibilities:
- Prepares day to day office management, according to established office hours including serving as the first point of contact for visitors, answering phones, managing incoming and outgoing mail and providing administrative support to the Pastor;
- Prepares weekly bulletin including:
- Utilizing synod resources to determine appropriate scriptures and prayers in accordance with the liturgical calendar;
- Preparing, editing and printing weekly worship bulletins and special bulletins as needed;
- Collecting and coordinating bulletin announcements and weekly updates;
- Coordinating content with Pastor and Director of Music.
- Prepares the monthly Newsletter including:
- Collecting and preparing content for inclusion in a timely manner;
- Monitoring synod and community organizations for content inclusion, in particular United Churches of Lycoming County;
- Distributing to membership via electronic and print mediums.
- Organizes documents for Church Council Meetings including print and electronic means.
- Together with the Support ministry, coordinates distribution and collection of Time and Talent campaign literature, to include dissemination to the appropriate ministries upon receipt of surveys.
- Prepares and updates Church Directory as needed.
- Maintains the parish Register, including records of members’ status, i.e., baptism, confirmation, transfer, etc.
- Maintains an up-to-date parish policy and procedure manual and the office procedure handbook.
- Prepares and maintains Council Roster and terms.
- Schedules counters for weekly offerings.
- Processes all incoming invoices, and receipts according to established procedures.
- Maintains an up-to-date calendar of all meetings and events for the church.
- Orders and maintains inventories of office supplies, worship, and ministry related items.
- Organizes and prepares the Annual Report in coordination with ministry chairs.
- Prepares reports, correspondence, and provide information to ministry Chairs.
- Oversees church key and code distribution.
- Maintains oversight of the maintenance and replacement of office equipment, and also vendor contract and maintenance information for all church office equipment. Recommends the need for replacement of church office equipment to Support/Finance Committee.
- Collects and distributes work orders for the Sexton and the Property Committee.
- Collects and maintains weekly worship attendance data.
- Performs other duties as assigned by the Pastor.
